Cancelling a new/first appointment

Check which hospital

The appointment letter advises you if your appointment is at Hillingdon Hospital or Mount Vernon Hospital or one of the community locations, along with the appointment date and time, and the clinician’s name or clinic name, you are with.

Accessing your digital healthcare patient portal

We want to make it as easy as possible for you to find and access your appointment information, so you can now view your letters online using a computer, tablet, or mobile phone.

This is managed through DrDoctor, a digital engagement platform that we use for video consultations and appointment reminders.

How this works

Once your appointment has been booked, you will receive a text message from 07860 039092 to let you know that you have a new appointment letter.

This text message will also include a web link, starting with: drdoctor.thirdparty.nhs.uk/, which you can use to login to the DrDoctor portal.

To log-in, you just need:

  • your last name
  • your date of birth
  • your post code

To check it is really you, we may send a unique one-time code to your mobile phone number.

If for any reason you don’t access your online appointment letter within 72 hours of us sending it to you, we'll also send you a copy in the post, just in case.

Our online letters mean that you’ll receive your letter more quickly and reliably. You also won’t need to worry about losing it – it’ll be there in your online portal whenever you need it.

You can also use the DrDoctor portal to add the appointment to your electronic diary if you have one.

Confirming or rebooking your appointment

Shortly before your appointment, we'll send you a reminder by text message..

It is important you let us know as soon as possible if you are not able to attend.

If you are requesting rebooking or cancellation at short notice, please phone us using the telephone number on your clinic letter, to ensure we have time to offer the appointment to another patient.

Remember – if you cancel an appointment rather than rebooking it, you may be discharged from the service.

Opting out of digital letters

If you don’t use a smartphone, or would prefer not to receive online appointment letters, please let us know at your next appointment.  

We will make sure that you continue to receive letters in the post.

If you have previously opted out of receiving digital letters or notifications, please let us know again, as we will need to make sure this is recorded on the new system.

Accessing previous appointment letters

All letters and appointments created after 19 June 2024 will be available on the DrDoctor portal.

If you need to access a letter that was created before 19 June, and you can’t find it on the DrDoctor portal, don’t worry. Past letters are still available to view and download through our old online letters system, Envoy. You may also know it as HCC. 

If you need to find an older letter, check your text messages for a link to Envoy. You will be able to sign in with your existing account details until June 2025.

Accessing appointment details through the NHS app

If you are registered and set up on the NHS app, you can see details of your upcoming outpatient appointments by selecting ‘Referrals, hospital and other appointments’.

Up to 12 August 2024 this information came from the Care Information Exchange (CIE). From Tuesday 13 August, DrDoctor will provide this appointment information. DrDoctor have been providing the service for online access to appointment letters and for appointment reminders by SMS text and email via their own platform since 19 June 2024, and will now also provide the information to the NHS App.   

If you already use the NHS App and have notifications enabled you will be notified of new messages from the Trust within the NHS App via push notification. Please note that Inpatient and Day case appointment information will not be available to view via the NHS App.

The first time you use the NHS App to view messages sent by DrDoctor you will be asked to agree to share your NHS login information with DrDoctor. Once this has been completed you will not be asked to do this again and will seamlessly be able to view appointment information on the NHS App.
